Position Summary

Under the direct supervision of the Fleet Services Director the Fleet Associate is responsible for ensuring vehicle maintenance is completed while working closely with vendors, drivers, and other co-workers. The associate will also be responsible for various forms of record keeping and assisting with Department of Transportation regulation compliance.

Job Requirements

  • Ensure comprehensive vehicle maintenance programs are followed at all locations while working within a defined maintenance schedule
  • Clear and concise communication regarding vehicle maintenance while maintaining vendor and driver relations in a professional manner
  • Negotiate vendor pricing, receive invoicing and processing of vendor payments while ensuring
  • maintenance and repairs are performed in a cost effective manner
  • Manage, update and maintain data in various fleet services systems along with quality control audits
  • Administrative report analysis, data integrity, metrics and scorecard results
  • Working knowledge of Federal Motor Carrier Safety Administration rules and regulations as related to vehicle and driver operations
  • Work with state agencies on vehicle licensing/registration
  • Assist with record keeping duties related to maintenance files, fuel and toll programs, Department of Transportation compliance
  • Receives incoming calls from vendors or other outside agencies to obtain as much information and expedite the processes
  • Ability to work extended hours based on business needs, including on-call for evening and weekend hours
  • Ability to travel to deliver vehicles, visit site locations and service vendors
  • All employees are required to attend education workshops on excellent customer service, review pertinent industry literature, attend in-services on new product(s) and technology when provided, and avails self of audio and videotapes for additional training
  • Individual is expected to be on-call 17 times per year in weekly intervals

Required Education

High school degree or equivalent
Required Skills & Experience

  • Must possess or be able to complete requirements for a Department of Transportation physical
  • Demonstrable ability to follow directions and complete assigned tasks on time
  • Basic written and verbal communication skills

Preferred Skills, Experience & Education

  • Minimum of 1 year experience in the transportation industry with a focus on Fleet Management
  • Adapts and able to control frequent changes in the work environment along with the ability to multi-task and react positively under pressure
  • Basic knowledge of computer and software applications including Microsoft Word, Microsoft Excel, and Microsoft Outlook
  • Ability to read and comprehend simple and sometime complex instructions, short and long correspondence, and memos
  • Ability to write simple and complex correspondence
